DEPARTMENT CHAIR

JOB DESCRIPTION

In line with the objectives and principles determined by the senior administration of Süleyman Demirel University, the Department Chair carries out the administrative and academic affairs within the department to ensure that all activities necessary for the delivery of education and instruction are conducted effectively and efficiently in accordance with the Faculty's vision and mission.

DUTIES AND RESPONSIBILITIES

The duties of Department Chairs are specified in Article 21 of the Higher Education Law No. 2547.

The department shall be administered by the Department Chair.
The Department Chair shall designate one of the faculty members to act on his/her behalf during periods of absence.
In the event of an absence exceeding six months for any reason, a new Department Chair shall be appointed through the same procedure to complete the remaining term.
The Department Chair shall be responsible for all educational, instructional and research activities of the department and for ensuring that all departmental activities are carried out regularly and efficiently.
Chair the meetings of the Department Board.
Submit written reports on the department's needs to the Dean's Office.
Ensure the proper conduct of all official correspondence between the Department and the Dean's Office.
Ensure coordination among the divisions affiliated with the department.
Ensure that teaching assignments are distributed fairly and evenly among faculty members.
Ensure the orderly implementation of educational and instructional activities within the department.
Ensure that additional course payment and examination remuneration schedules are prepared accurately and on time.
Identify problems related to education and instruction within the department and report them to the Dean's Office.
Conduct departmental assessment and quality improvement activities and submit the relevant reports to the Dean's Office.
Coordinate accreditation activities for the academic programs affiliated with the department.
Promote an effective communication environment among faculty members to enhance the efficiency and effectiveness of education, instruction and scientific research.
Provide the necessary departmental information for the Faculty Academic General Assembly.
Ensure that course registration procedures are carried out properly at the beginning of each semester.
Closely monitor and address students' educational and academic issues.
Ensure that relations between students and faculty members are maintained in an orderly and constructive manner in line with the objectives of education.
Hold meetings with academic advisors to ensure that course registration procedures are carried out regularly.
Ensure that the Undergraduate Education and Examination Regulations and related directives are implemented in accordance with their intended purpose.
Ensure that faculty members conduct their courses regularly.
Coordinate the planning and implementation of the ERASMUS and FARABI Programs within the department.
Comply with the Faculty's ethical principles and participate in internal control activities.
Perform any other duties assigned by the Dean's Office within the scope of the position.

Candidates must possess the general qualifications specified in the Civil Servants Law No. 657 and the Higher Education Law No. 2547.

The Department Chair shall be appointed for a three-year term from among the salaried professors of the department; if no professor is available, from among the associate professors; and if no associate professor is available, from among the assistant professors, by the Dean in faculties, by the Dean upon the recommendation of the Director in schools affiliated with faculties, or by the Rector upon the recommendation of the Director in schools affiliated directly with the Rectorate. The Department Chair may be reappointed upon the expiration of the term.

HEAD OF DIVISION

JOB DESCRIPTION

In line with the objectives and principles determined by the senior administration of Süleyman Demirel University, the Head of Division carries out all duties related to the division in order to ensure that all activities necessary for the delivery of education and instruction are conducted effectively and efficiently in accordance with the Faculty's vision and mission.

DUTIES AND RESPONSIBILITIES

Chair the meetings of the Division Board and implement its resolutions.
Ensure coordination among faculty members within the division.
Distribute teaching assignments among faculty members in a balanced and reasonable manner.
Ensure the proper conduct of all official correspondence between the Department Chair's Office and the division.
Ensure that additional course payment and examination remuneration schedules are prepared accurately and submitted on time.
Carry out general supervision and oversight of the division.
Ensure the orderly implementation of educational and instructional activities within the division.
Identify issues related to education and instruction within the division and report them to the Department Chair.
Ensure that relationships between students and faculty members within the division are maintained in an orderly and constructive manner in line with the objectives of education.
Promote an effective communication environment among faculty members within the division to enhance the efficiency and effectiveness of education, instruction and scientific research.
Ensure that research projects within the division are prepared and conducted on a regular basis.
Conduct the division's assessment and quality improvement activities.
Ensure that the learning outcomes of the division are properly defined.
Prepare the division's self-assessment report.
Prepare the division's strategic plan.
Carry out the necessary activities for the accreditation of the division.
Prepare annual reports on the division's assessment and quality improvement activities and submit them to the Department Chair.
Provide the necessary information concerning the division for the Faculty Academic General Assembly.
Prepare the division's seminar program for each academic semester and submit it to the Department Chair.
Ensure that course registration procedures are carried out properly at the beginning of each semester.
Hold meetings with academic advisors to ensure the orderly implementation of course registration procedures.
Ensure the implementation of the Academic Advising Directive.
Ensure that course grades are entered into the automation system in a timely and orderly manner.
Ensure the preparation of classroom schedules and office door schedules for faculty members.
Ensure that course syllabi prepared by faculty members are published on the University's website and announced to students.
Ensure that faculty members conduct their courses regularly.
Coordinate the planning and implementation of the ERASMUS and FARABI Programs.
Ensure that the Diploma Supplement is prepared in accordance with the European Credit Transfer and Accumulation System (ECTS).
Comply with the Faculty's ethical principles and participate in internal control activities.

VICE CHAIR OF THE DEPARTMENT

JOB DESCRIPTION

In line with the objectives and principles determined by the senior administration of Süleyman Demirel University, the Department Chair may appoint up to two faculty members of the department as Vice Chairs of the Department. The Department Chair may replace the Vice Chairs whenever deemed necessary. The appointments of the Vice Chairs automatically terminate upon the expiration of the Department Chair's term of office.

Vice Chairs of the Department are faculty members who assist the Department Chair in the performance of administrative and academic duties. They are not the hierarchical supervisors of the faculty members serving within the department. However, when acting on behalf of the Department Chair, Vice Chairs of the Department shall assume the role of the hierarchical supervisor of the faculty members within the department.

DUTIES AND RESPONSIBILITIES

Act in accordance with the objectives and principles set forth in Articles 4 and 5 of the Higher Education Law.
Plan the department's staffing and faculty member requirements and submit them to the Department Chair.
Ensure that teaching assignments are distributed in a balanced manner.
Ensure that the curriculum and course contents are regularly updated and aligned with those of other universities.
Participate in meetings of the Department Board.
Plan the organization of national and international scientific congresses.
Prepare the department's course schedules and examination timetables and supervise their implementation.
Facilitate the establishment of master's and doctoral programs in order to educate future academic staff for the department and its divisions.
Foster cooperation and collegiality among faculty members.
Initiate the procedures related to the extension of faculty members' appointments.
Ensure the efficient, effective and economical use of available resources.
Monitor students' attendance and academic performance.
Evaluate the circumstances of students on medical leave or other approved leave.
Coordinate activities related to undergraduate graduation projects and graduate theses.
Prepare the department's annual mandatory reports, including the annual activity report, strategic plan and performance indicators, and submit them to the Dean's Office.
Coordinate activities related to the ERASMUS and FARABI Programs.
Address the issues and needs of students with disabilities and international students.
Ensure that documents related to additional course payments are submitted to the Dean's Office in a timely manner.
Address the operational needs of the department.
Coordinate the appointment of advisors for undergraduate and graduate theses, ensure a balanced distribution of supervisory responsibilities among faculty members, and prepare course and examination schedules.
Organize elections for the Student Council.
Ensure that the department's website is kept up to date.
Ensure the establishment and monitoring of graduate thesis examination committees.
Monitor faculty members' leave requests and assignment procedures.
Enhance academic advising services, schedule consultation hours for students, and address their concerns.
Organize departmental seminars.
Comply with the Faculty's ethical principles and support internal control activities.
Perform any other duties assigned by the Dean, the Vice Dean or the Department Chair.

In line with the objectives and principles established by the senior administration of Süleyman Demirel University, Faculty Members carry out all activities necessary for the effective and efficient delivery of education and instruction in accordance with the Faculty's vision and mission.

DUTIES AND RESPONSIBILITIES

Act in accordance with the objectives and principles set forth in Articles 4 and 5 of the Higher Education Law.
Participate in scientific and academic activities organized within the Faculty.
Provide the Faculty with all information and documentation requested regarding the courses and laboratories for which they are responsible.
Participate in the preparation and planning of course content.
Ensure that assigned courses are delivered in a complete and orderly manner.
Participate in academic advising services and assist students in adapting to the department and the university environment.
Obtain the necessary approval from the Department Chair in a timely manner for any changes related to the courses and laboratories under their responsibility.
At the end of each semester, carry out improvement activities based on the results of course evaluation surveys completed by students for the courses under their responsibility.
Perform all other duties specified in the Higher Education Law and relevant regulations.
Continuously improve professional competence by enhancing foreign language proficiency, academic knowledge and intellectual capacity; contribute to extracurricular university activities; organize and support academic and social events; participate in social responsibility projects; and strive to serve as a role model for society while contributing to students' personal and academic development.

In line with the objectives and principles established by the senior administration of Süleyman Demirel University, Lecturers and Instructors are academic staff members responsible for delivering courses and conducting practical instruction. In higher education institutions and their affiliated units, individuals who are recognized for their expertise and scholarly work in their respective fields may be appointed, either for a fixed term or on an hourly-paid basis, to teach courses or conduct educational and practical activities requiring specialized knowledge in cases where no faculty member has been appointed in accordance with the relevant legislation.

DUTIES AND RESPONSIBILITIES

Make full use of their professional potential in contributing to the achievement of the Faculty's and the Department's goals and objectives.
Perform all duties and responsibilities assigned within the Faculty under their area of responsibility.
Provide the Dean's Office with all information and documentation requested regarding the courses and laboratories for which they are responsible.
At the end of each semester, carry out improvement activities based on the results of course evaluation surveys completed by students for the courses under their responsibility.
Perform all other duties specified in the Higher Education Law and the relevant regulations.

Perform duties assigned in relation to graduation ceremonies and orientation programs.
Supervise and provide guidance to student groups representing the Faculty in sports festivals and similar events.
Participate in the preparation of course schedules and examination timetables.

JOB DESCRIPTION

In line with the objectives and principles established by the senior administration of Süleyman Demirel University, the Department Secretary is responsible for carrying out all official correspondence related to the department.

DUTIES AND RESPONSIBILITIES

Prepare and monitor all official correspondence related to the Department Secretariat; organize the necessary daily, monthly, and annual workflow to ensure that departmental administrative processes are carried out accurately and on time.
Assist the Department Chair in the preparation of the curriculum and carry out the related official correspondence.
Assist the Department Chair in preparing course schedules, compile the necessary data, and complete the required correspondence.
Prepare official notifications informing faculty members about course schedules.
Assist the Department Chair in preparing examination schedules, compile the required data, and complete the related correspondence.
Announce course schedules and examination timetables to faculty members and students.
Provide the Department Chair with all necessary information during the preparation of academic programs.
Inform students of classes that cannot be held due to faculty members' valid excuses and notify the Dean's Office when necessary.
In accordance with the academic calendar, provide the Student Affairs Office with course and instructor information for each academic program at the beginning of each semester to facilitate online course registration.
Assign academic advisors before the beginning of each academic year.
Archive the results of midterm, final, make-up, amnesty and exemption examinations, together with grade approval forms.
Submit the previously completed courses of newly admitted students to the relevant faculty members for evaluation, coordinate the preparation of course equivalency decisions, and carry out the related correspondence for submission to the Faculty Administrative Board.
Receive students' requests for suspension of studies and complete the necessary correspondence for submission to the Faculty Administrative Board.
Carry out correspondence related to student internships and provide guidance to students on internship procedures.
Prepare correspondence concerning the extension of appointment periods for academic staff affiliated with the department.
Receive faculty members' requests for grade changes and complete the necessary correspondence for submission to the Faculty Administrative Board.
Prepare correspondence and announcements related to meal assistance.
Prepare correspondence and announcements concerning scholarships.
Carry out departmental clearance procedures for students completing or terminating their studies.
Prepare correspondence related to student transfer procedures.
Publish announcements concerning academic staff and students.
Prepare all correspondence required for students' graduation procedures.
Monitor decisions of the Council of Higher Education (CoHE), the University Senate and other relevant authorities, and ensure their implementation.
Carry out all correspondence and administrative procedures related to student amnesty.
Receive students' petitions for late course registration due to valid excuses and complete the required correspondence for submission to the Faculty Administrative Board.
Cooperate with other administrative units of the University whenever necessary to ensure the effective execution of departmental procedures.
Archive all official departmental documents.
Implement the decisions of academic and administrative committees concerning students and communicate such decisions to the relevant parties.
Process students' requests for official documents and certificates.
Collect departmental data required for the preparation of annual activity reports and submit it to the Administrative Affairs Office.
Prepare correspondence related to conferences, seminars and similar academic events.
Ensure that all individuals entering the office are served in a courteous, professional and satisfactory manner.
Respond politely to students' questions regarding educational and administrative matters or direct them to the appropriate office.
Inform the School Secretary whenever departmental procedures cannot be completed, together with the reasons.
Ensure the efficient, effective and economical use of Faculty property and resources.
Avoid wastefulness and maintain confidentiality in all official matters.
Comply with working hours and the institutional dress code.
